AGM 2010 - Draft Minutes Minutes of Annual General Meeting of the City Tennis League - 24 February 2010

1. Apologies for absence   Apologies received from Martin Dean (Bostons), Frances Horner (Brooke), Roy Tate (Acle), Ian Blackburn (Oasis)
 and Cheryl Buck (Cromer).

2. Minutes of the last meeting - (Already circulated)   These were accepted, approved and signed by the Chairman and Secretary. 

3. Matters arising from the minutes   None 

4. Mens' Divisions Secretary's Report - (Circulated separately)
Division One title to Acle A,  Taverham A runners up. Stanmore A return to Division Two. 
Bostons were clear winners with an eight point margin in Div Two, only 5 points separating the next 4 places. Nomads B and Brooke B 
      occupied the relegation positions.
In Division Three Acle C and Carrow Exiles A are promoted. Very tight at the bottom with only 1 point separating 3 sides. Carrow Exiles B 
      and Wymondham A are relegated with Cringleford escaping with a better game difference. 
In Division Four Fakenham carried on their good run from last season - they only lost 1 game and are promoted to Division 3. A close finish 
      at the bottom with Dereham being relegated.
In Division Five Cromer C are promoted. Wymondham B beat North Walsham Park in the last game of the season to ensure their survival 
      and relegate Stanmore D. 
In Division Six Taverham D finished undefeated and will be promoted to Division 5.

5. Ladies' Divisions Secretary's Report -(Circulated separately)
In Division One  Acle A were top, making it a fantastic double with the Mens team. E A Lions finished bottom and will be relegated. 
In Div Two. NU Nomads finished 4 points clear. There was a tight finish at the bottom with 2 points separating the bottom 3 teams 
      but it is Acle C who will be relegated. 
In Div Three there was a close finish at the top with Fakenham edging out Taverham A, Wymondham B being relegated. 
In Div Four Aylsham finished undefeated with a massive game difference of 302 games.

6.  Issues - Mens & Ladies 
Some result cards never received. Whilst all results were eventually received via email/ phone calls it meant the individual performance 
   figures haven't been produced. Some cards were received without stamps!.
There were a few unregistered players which were picked up and teams that it involved duly punished.

7. Chairman's Report   
Bob King pleased to note that only 2 teams in our 10 divisions managed a 100% record whilst only one side did not manage a victory  
indicating that we had a very competitive league to offer our members. The age old outstanding matches situation was something 
Bob thought needed to be addressed by all secretaries as only by reducing these could we contemplate such proposals as tournaments 
or play offs. He was however happy to congratulate the league as 343 out of 348 games were completed.
He wished to place on record special thanks to Adrian Gunton for a spended first season as League Secretary taking on both 
Mens and Ladies Divisions. John Edwards was to be thanked for his continuing involvement.
The League continues to produce interest from newcomers, a healthy position which has much to do with the unique nature of our affairs.

9. Accounts : – 

There are a few additions which occurred in Jan 2010 which should really apply to the expenditure column in 2009 (postage £21.70, 
Telephone £30, Internet £30). There was discussion whether these items should be shown in 2009 figures so that in 2010 we can 
show like for like. This was agreed. 
From 2011 we intend to increase the £5-per-team subscription fee - probably to £7.

10. Election of Officers    All committee members were willing to stand again and were unanimously approved.

11. Application of the Rules   No issues raised

12. Changes in Rules    There were 2 suggested rule changes 

(i)  Suggestion raised by Bostons   Suggested amendment to Rule 17  In the event of two teams tying for top position on points 
the team with the best games difference will win. If this is the same a play off on a neutral ground fixed by the league secretary 
shall take place. Promotion and relegation at the end of the season will be two up and two down. Where a team finishes second 
in Division Two (or a Division of six or fewer teams ) that team will play off a decider against a team that finishes second from bottom 
in the Higher Division to decide who plays in the higher division. If this match results in a draw then the team from the higher division
 retains its place. In special circumstances this can be over ruled at the AGM  
There was much discussion around how this would increase the length of the season and the possibility of 'ringers' playing in the play off games.
         At the vote the proposed rule change was rejected.

(ii)  Raised by Eaton Lions   Suggested amendment to Rule 19  - No player can play lower than their registered team.
     There was discussion that if the rule was passed it could lead to a reduction of teams in the league and the increase in number of matches  postponed. 
At the vote the proposed rule change was rejected. 

13.  Application from new teams or details of teams not entering this coming season
New Mens' teams from Bungay playing at Ditchingham, North Elmham C , Oasis B, Acle E. The Nomads A side will combine to make a Bostons B side but we will lose Nomads B.
There will be a new Ladies' team from N Elmham & Eaton Lions C. NU Nomad ladies will join up with  Blofield. 

14. Agreement on Divisions for 2010 
Arrangement of Divisions  Leave it to the Committee to take account of new teams entering or teams leaving 

15. Starting date for the Season Monday 3 May (Bank Holiday)  Adrian Gunton/John Edwards will endeavour to arrange that those teams with a Monday homenight will have an away match to avoid the Bank Holiday. Also Cromer C who play on a Sunday have asked that they don't play at home on the Wimbledon Mens single final 

16.  Any other business    

 No other business, the Meeting concluded at 8.40pm.
